Simply e-mail or snail-mail your application with a check for your deposit (shown on tour page, generally $500 for tours under $4000 per person, and $1000 for tours over $4000 per person). To reserve by phone, call and we’ll take your reservation using VISA, MasterCard, American Express or Discover cards. Or we will hold your place for a week while you send your check. If you prefer to pay by credit card, you can call us or print out our CREDIT CARD AUTHORIZATION FORM, then fax it, mail it, or scan it and send it by email to [email protected]
Your deposit will hold your spot until 90 days before departure. We reserve the right to consider a reservation cancelled, and the deposit forfeited, if the balance is not received by that date. We ask for final payments to be made by check unless we have worked out alternate arrangements.
We never sell or rent our email list. We sometimes send helpful but non-vital information about a trip, as well as reminders and acknowledgments of materials received, via email. Your name, address, and email address (but not phone number) may be supplied to other participants on your trip at the end of the trip unless you request otherwise. We may also send you email notices of future trips and special offers that we think may interest you. If you do not want promotional emails from us simply click unsubscribe at the top of the emails.
The Cost of the Tour Includes:
Group Travel Insurance: Medical, evacuation and baggage insurance for citizens or residents of the United States or Canada, with waiver of pre-existing conditions. Full details will be sent to those who register for the trip, along with information about cancellation and interruption insurance which can be purchased separately.
Transportation: All transportation within the region of the tour as specified in the specific tour itinerary, including departure taxes for included flights.
Hotels: Room with twin beds, large double bed (when available), or single room as selected, with private bathroom.
Meals: Daily breakfast, and meals as specified in the itinerary, with wine or soft drinks at the Welcome and Farewell dinners.
Tips and Taxes: Hotel service charges; porterage, meal and driver gratuities.
Escort: The services of a professional tour director throughout the tour (subject to minimum participation).
Sightseeing: All sightseeing in accordance with the itinerary, accompanied by knowledgeable English-speaking guides and including any entrance fees.
Transfers: Between hotels and airports (for group flights), boats, or trains, including baggage porterage.
Baggage: Free baggage allowance on flights in accordance with airline policy. Standard allowance includes one checked bag and one carry-on bag per person.
The cost of the Tour does not include:
International airfare, unless explicitly stated, and certain flights during the tour (specified for each tour);
Airport-hotel transfers for international flights, unless explicitly stated;
Airport departure taxes for international flights home;
Trip cancellation or interruption travel insurance (available as tour option);
Excess baggage if applicable;
Personal items such as laundry, beverages, and individual tips to guides and hotel and ship staff.
Tour members need a valid passport. Visa information when applicable will be forwarded to participants upon signing up.
Cancellation and refunds
If you must cancel a reservation, we will refund your payments except for a cancellation fee, which is based on how many days before the departure date you cancel. We will give you a cancellation number; please record this number to verify that your cancellation was received. For reservations that do not include air transportation, the fee is:
- 90 or more days: 50% of Deposit
- 60-89 days: 100% of Deposit
For cancellations made closer than 60 days to starting date, there is no refund but if you have paid in full, we’ll issue a credit (good for 18 months from the date of cancellation) for the amount indicated below. If you have not paid in full, there is no credit or refund.
- 30-59 days: We’ll issue credit for 50% of payments received, if you have paid for full trip.
- 8-29 days: We’ll issue credit for 25% of payments received, if you have paid for full trip.
- Within 7 days or No-shows: No credit or refund.
Total is defined as the total of trip cost with any supplements requested. The cancellation fee is the same regardless of the reasons for cancellation. Cancellations must be received in writing. There is no refund for participants who join a trip late or depart early. We include medical, evacuation and baggage insurance for all tour participants, and we strongly recommending choosing the cancellation and interruption insurance option as well. If you must cancel a reservation, it cannot be automatically transferred to another person, but if you know someone who is interested, we can offer it to them if there is not already a waitlist.
Why are cancellation fees necessary?
Rates are based on the value of foreign currencies in relation to the U.S. Dollar and on tariffs in effect at press time and are subject to adjustment on final invoice.
Hanns Ebensten Travel, Inc., operators of the tours herein outlined, its subsidiaries, and/or its associated agents act as agents only for all services and disclaim any and all liability for property loss or damage, and/or any and all damages resulting from death or personal injuries, including loss of services which may be sustained on account of or rising out of, by reason of, or while engaged on any tour, whether due to the ownership, maintenance, use, operation or control of any aircraft, automobile, bicycle, boat, vehicle, inn, common carrier, or otherwise or whether caused by failure or delay or by any transportation company due to any cause whatsoever occurring during a tour under its management, procurement, or otherwise. All tickets, coupons, orders are furnished and issued subject in all respects to these terms and conditions and to any and all terms and conditions under which the means of transportation or other services provided thereby are offered or supplied by owners, operators, or public carriers for whom Hanns Ebensten Travel, Inc., acts solely as agents.
Hanns Ebensten Travel, Inc., reserves the right in its discretion to alter or omit any part of the itinerary or change any space, reservation, feature and/or means of conveyance without notice and for any reason whatsoever and without allowance or refund, but the extra cost, if any, resulting therefrom must be paid by the passengers. The transportation companies concerned are not to be held responsible for any act, omission, or event during the time passengers are not on board their carriers or conveyances. The passage contract in use by the carriers concerned, when issued, shall constitute the sole contract between the transportation companies and the purchaser of these tours and/or passenger. Hanns Ebensten Travel, Inc. reserves the right to cancel or withdraw any tour prior to departure and may decline to accept or retain any person as a member of any tour at any time. In such case the refund will be based on the actual cost of the unfinished portion of the tour.
